Local Coaches' Webinar Playbook

Goal: host regionalized zoom calls to provide valuable coaching information, while showing the value of Varsity Spirit Apparel and Camps.

Target Audience: Coaches who have not booked a consult/fitting/registered for camp or are not 3C Customers. Feel free to invite loyal customers to provide social proof to other coaches.

Personnel Needed

• Host (Typically a VSF or T&E Regional Manager – lean on Sales Training as well if needed )
• Moderator (typically a rep/SD on the manager’s team)– need them to navigate the technology, monitor chat questions, click through any presentation materials, play music when appropriate (when attendees are joining, during giveaways, etc) . It is too much for the host to do both roles.
• Reps and State Directors to present and help drive the conversation.
• Idea: can also invite “big names” to be a keynote speaker if needed to draw in participants!

Content

• Create an agenda relevant to your territory.
• Calls should be 45 minutes to one hour max – allow for 15 minutes of Q& A at the end
• Leverage marketing videos if desired. This is a great way to kick off the call!
• No powerpoint needed. Reps can leverage their samples when talking about products.
• Should feel like a party! Allow for coaches to discuss and comment. Should not feel like a corporate presentation.
• Webinars should have a “family feel” – this is what sets us apart from our competitors. We are local, and many of us are cheer/dance coaches too. We get it! We know what our customers are going through!
  • This can be achieved through playing music as guests arrive and during games and giveaways
  • Host trivia, “spin the wheel” for giveaways

  • Host live giveaways. Play music during this to make it fun!

• Leverage comment section to have coaches give their preferred dates for consult/fitting/camp

• Request a zoom meeting here. You’ll receive your zoom link and host login information within 2 business days.
  • You’ll then be able to send this link to customers, and they will register directly with zoom. As the host, you’ll be able to see who has registered, as well as email address and school name.
  • If your webinar approaches 100 registrants, please contact Tayler Quinn at tquinn@varsity.com immediately so we can change the settings on the meeting to accommodate.

• Registration for Coaches
  • Coaches will register directly through zoom and receive a confirmation email. They will have the option to add the event to their calendar. Registration will only take a few moments.

• How to see and remind registrants
  • Login to zoom.us using the host information you received via email
  • Go to Meetings > Upcoming > then Select the webinar you requested
  • Scroll to the bottom and click “View” under Registration
  • View Registrants – from here you can select each individual registrant and resend the confirmation email on the day of as a reminder.
